00:01 Greetings, this is Dr. Bill. In this video, I want to discuss how to manage your contacts in the Zap App.
00:09 In the previous video, I talked about how to import lists that you purchased into your Zap App account. In your dashboard in the Zap Contact website, you can see those lists that we talked about in the previous video.
00:25 there was a "Pending" value in the Imported column, and you can see that the lists have now successfully. As I mentioned, there is a background process that takes the lists that you add to the import queue and processes them, importing them into your Zap App.
00:41 Now I've intentionally, for illustration purposes purchased a number of different categories of lists so I can illustrate what it looks like to manage them in the Zap App
00:49 Also you'll notice that it says 100 contacts. That's not how many records there actually are
00:58 in each of these lists. I simply set the background process to load 100 records from each list. I didn't need to be loading tens of thousands of records for the purpose
01:07 of this demo. But you can see that I have a couple of California zip code lists, a couple of California city lists, a California county list.
01:16 a couple of state estate agent lists, then a dermatology and an allergy and immunology list, a state physician list, and then executives,
01:28 contractors, accountants, and the sample list that we also discussed. So once these are loaded into your Zap App, you can launch the Zap App by clicking on the launch Zap App button on your menu.
01:59 is what the contacts page in the Zap App looks like. You access it by clicking on the contacts menu option in the left hand column.
02:10 You can see that we only have 2,284 records, which is a small number of records given the number of lists that were imported.
02:18 But again, I limited the import to only 100 records per purchased database. You can click on an individual contact to see which values have been imported.
02:29 In most cases, you're not going to be editing values in these contacts; these are static values. You've imported it for the purpose of marketing and you won't need to edit them, but editing is possible.
02:41 You can see the types of fields that have been imported in the case of the agent list: First and last name, email address, interestingly the phone number for this particular lead was not imported.
02:51 It would have been for other contacts. The business name which is the office name, the broker's office for a real estate agent, address, postal code, scroll down a little further and you have fax number, mobile number, county, agency, license number, license type, expiration date, association, email status
03:14 which I can talk about later, and the original license date. If this was a physician list, it would also load the specialty and the subspecialty fields.
03:30 The most useful part of the contacts feature in the Zap App is what is called Smart Lists, which allows you to segment your list into different categories.
03:46 Oftentimes you will not want to send your email to every single contact that you've imported. You want to only send it to a segment.
03:56 You create these segments, or smart lists, by clicking on the "More Filters" option in the far right hand portion of the screen.
04:12 And some fields will pop up. These fields can be used to specify values and filter the contacts that are in your data.
04:20 I can demonstrate one other feature of the import, called tags. A tag can be assigned to an individual contact. To stamp each contact w the name of the list it was imported from.
04:34 You will see the name of the different lists that were in the dashboard in the Zap Contact website.
04:48 The Alabama real estate agent list, the Alaska Physician Database, the Arizona Contracting Database. I'm going to select the Alaska Physician Database and click Apply.
05:03 At the bottom is the option to save as a smart list. And I'll type "Alaska Physician". The smart list segment is now listed at the top of the screen.
05:21 Notice there are exactly 100 records because that's how many records were imported from the Alaska Physician database. The "Tag" column is over on the right hand side and you can see that that was in fact the tag that was assigned to this particular contact
05:38 in this particular segment. I can edit that particular smart list and choose a different tag. Choose "Save as new".
06:05 You have to be careful that you choose "Save as new". If you choose save, it will simply save this over the previous name and it will end up saving the Alabama real estate agent database under the name Alaska Physicians.
06:20 So it's important to save it as a new name, Alabama Real Estate Agents. You can see that that segment has also been added to the top of your page.
06:47 It also has 100 records because only 100 records were imported. I can click on one of these contacts again and you can see what the field values are.
07:14 Fax number, mobile number, county, agency, etc. I don't have license information for Alabama so that's missing. And we could, if we create a different smart list category.
07:44 I wanted to filter by the agents in Mobile, Alabama. Since this is already the Alabama Real Estate Agent List, which we've identified by its tag, added an additional condition.
08:06 So, for this filter, the tag has to be Alabama Real Estate Agent Database and the city has to be Mobile.
08:33 We now have a third smart list segment at the top of the page. Now it's only showing two agents because remember I only loaded 100 agents out of Alabama and Alabama has over 20,000 real estate agents.
08:47 Only two of those 100 happen to be from Mobile, Alabama. Another option would be to filter by license type. Perhaps you only want to market to a particular type of agent.
09:16 Brokers for example. SNow, you noticed I only selected California brokers and previously I had imported lists from a couple different California cities and a couple of different California zip codes.
10:30 So this particular segment of brokers should cross several different lists. The page normally shows 20 records at a time, but you can change the page size to 100.
10:44 Iff you look at the tags in the last column. will notice that the first several agents in the list are from the 90210 zip code.
10:55 Then some are from the Los Angeles City list. And if I continue to scroll, I'm sure I will see some agents from other lists.
11:07 Sure enough, the Contra Costa County list, the 94583 zip code, some more in Contra Costa County, etc. So, here's an example of where even though I have imported data from several different lists, they're all in California.
11:24 So, if I choose broker and state equals California, it doesn't matter that I imported those records from several different lists previously. When I discussed how to import data from the Zap Contact website, which is the easiest way
11:39 to do it, I did mention that you can import data from within the Zap App itself. And you do this from the options here on this menu bar.
11:48 The second to last option which I have highlighted-- the up arrow coming out of the box -- is import contacts. And here I have the Colorado agent list previously saved to my computer.
12:16 In most cases, the fields in the Dr Bill list will match exactly the fields in the Zap App itself.
12:34 The email, the full name, first name, last name, office name actually would correspond to company.
12:47 Office Address1 would correspond to simply address, city, state, postal code, county, mobile So, I've mapped all the fields that can be mapped.
13:59 And I submit the import. this is a little bit more work and it's easy to make a mistake if you're not careful, even though the process is pretty straightforward.
14:08 The easiest way to do it is from the Zap Contact website. So in a later video when I discuss scheduling your campaign I can explain where these segments come in handy.
14:43 Because it's at the time when you create your campaign that you need to select which copntacts you want those emails to be sent to.
14:51 And it gives you the option to select one of these smart lists that you've created. So if you want to send your campaign to the Mobile Alabama Real Estate Agents, then you would select that particular smart list.
15:12 That completes the most important features of managing contacts in the Zap App. It's pretty straightforward. In the next video I will discuss how to create templates for your email campaign.
